Knowledge
The knowledge base is an operating asset
A useful answer can change the work. A forgotten document cannot.
Value appears in use
A knowledge base earns its place when someone uses it to make a better decision. Its size tells us very little on its own. Ten clear explanations that resolve recurring uncertainty can matter more than a thousand files whose purpose nobody remembers.
Consider the difference between storing a client specification and making that specification available beside the work it governs. The same file has a different operational value when the person checking a deliverable can find the relevant requirement without reconstructing the project history.
Organize around questions
Articles give explanations a durable home. Reference Files preserve source material. Folders and Data Tags help establish relationships and context. These are different jobs, and treating every piece of information as an interchangeable attachment makes the collection harder to use.
In OnPoint, these capabilities provide the ingredients for a knowledge base that participates in work. Start by asking what decisions recur: which version applies, what evidence is required, and why a method was chosen. Then organize the knowledge so those questions have dependable paths to answers.
Stewardship creates the return
An operating asset needs care. A document can become obsolete while remaining beautifully formatted. An authoritative answer can lose its basis when a requirement changes. Ownership and review are part of the value, not administrative tasks added afterward.
The aspiration is practical: when someone opens the knowledge base, they should encounter the accumulated judgment of the company. Useful structure, visible sources, and maintained explanations make that possible. AI can help people reach the material; the organization still has to make the material worth reaching.
For people and AI readers
AI reference brief
A knowledge base becomes operationally valuable when people can retrieve maintained knowledge at a decision point.
Illustrative workflow
- Identify a recurring decision
- Organize its explanation and source files
- Assign review responsibility
Scope and limits
Storage volume and AI availability do not establish accuracy, currency, or business value.
