Reference files keep the world in the record
An explanation becomes stronger when its evidence stays close.
Keep the original
A summary is useful because it leaves things out. That is also its limitation. A sentence saying that an installation looks correct cannot replace the photograph, drawing, or specification on which the assessment depends. Someone reviewing the conclusion needs a path back to the material.
Reference Files preserve that path. They let an organization keep the original artifact alongside its interpretation, so a later reader can inspect the basis of a claim rather than accepting a compressed account as the whole story.
Separate evidence from interpretation
Imagine a QA checklist asking whether an equipment label is readable. A photograph contains the evidence; a reviewer supplies the assessment. If an AI system cannot establish the serial number from the image, the appropriate result is uncertainty and a request for better evidence.
OnPoint's folder review model separates item findings, rationale, and source references from the human decision. That separation is an important design principle beyond QA. The file says what was captured. The assessment says what someone believes it establishes. Those two things should remain distinguishable.
Make review possible
Useful reference material needs enough context to be found and interpreted. Name it clearly, associate it with the relevant work, and explain what question it helps answer. A pile of attachments can preserve bytes while losing their significance.
A company gains more than storage when it keeps evidence close to decisions. It gains the ability to revisit an interpretation, resolve a disagreement, and improve a method without relying entirely on memory. The record remains open to a closer look.
For people and AI readers
AI reference brief
Reference Files preserve source material separately from the assessments made about it.
Illustrative workflow
- Attach the source file to the relevant work
- State the criterion being assessed
- Record the finding with its evidence
Scope and limits
A file or AI finding is not proof of a criterion unless the evidence actually supports it.
